Who is responsible for your data

IPK LDA, trading as IPK Auctions, NIPC/NIF 519455541, registered at Rua Serpa Pinto 68B, 8100-714 Loulé, Portugal, is the controller for the processing described in this policy. info@ipkauctions.pt.

Information and purposes

IPK Auctions uses your name, personal or company address, tax number, company name where applicable, email, phone number, bids, watchlist, payment status and collection information to operate the auction service. Passwords are stored as secure hashes.

We also collect the identification number entered during registration and technical records, such as IP addresses and security events, to identify participants, protect accounts and investigate misuse.

What other people see

Public bid history uses a shortened bidder identifier. Private collection addresses and order details are available only to administrators and the winning buyer. The auction team manages collections.

Payments

Stripe handles card entry on its hosted checkout page. This website stores the payment reference and status, and does not store card numbers.

Emails and preferences

Registered buyers can receive new auction announcements. You can turn these off in email preferences or through the unsubscribe link in each announcement. Essential purchase, payment, collection and account-security messages remain enabled.

Cookies

Essential cookies keep you signed in and protect submitted forms. The website does not include advertising or analytics trackers.

Your cookie choice is remembered for 180 days. You can reopen the cookie notice using Cookie settings in the footer.

The authentication session has a one-day lifetime, renewed with activity. The language preference can be retained for one year and the cookie-notice choice for 180 days. Form-protection cookies and other temporary cookies support security and navigation. You can delete cookies in your browser settings; doing so may sign you out or reset preferences.

Why we process information

Account administration, bids, purchases, seller agreements and collections use the information needed to take steps at your request and perform our contracts. Accounting and legally required records are processed to meet legal obligations. Account security, fraud prevention, audit logs and handling disputes serve our legitimate interests in protecting users and operating a reliable auction service, subject to your rights. Optional analytics and advertising technologies require prior consent. Required form fields identify information needed to provide the requested service; without it, registration or a transaction may not be possible.

Service providers and disclosures

Authorised staff and providers supporting hosting, email delivery, payments and accounting receive the information needed for their work. Payment and billing details are shared with Stripe to arrange and verify payment. Contacting us through WhatsApp sends your message and account information to WhatsApp under its own privacy terms. The catalogue translation feature sends catalogue text to OpenAI; it does not submit bidder account profiles for translation. We may disclose relevant records to authorities, professional advisers or courts when required by law or necessary to establish or defend legal claims.

Analytics, advertising and social platforms

The website currently uses essential cookies only. Google Analytics, Google Ads, Meta Pixel, TikTok Pixel, Microsoft advertising tags and other optional tracking tools are not currently installed in the application. The platform information below is provided for transparency about external services and possible future integrations; it is not a statement that these providers currently receive your browsing data from our website.

External platform information

The tracking integrations below are not active on this website. If you follow a link to an external platform, that platform processes your visit under its own policy. An external link is not the same as installing its tracking pixel on our website.

Depending on their configuration and your consent, these technologies can process IP addresses, cookie or device identifiers, browser information, pages visited, referral sources, interactions and conversion events. Providers may associate these data with your platform accounts and use them for measurement or personalised advertising under their policies. This list is informational and does not constitute consent to every platform.

Consent and your choices

Before introducing optional trackers or embedded third-party media, we will identify the active providers, purposes, data collected, cookie lifetimes and relevant international transfers in this notice and in the consent controls. Optional analytics, advertising and tracking media must remain off until you choose the relevant category. Refusing optional tracking must not prevent ordinary browsing or bidding. You must be able to withdraw consent as easily as you gave it, without affecting processing that was lawful before withdrawal. The current Cookie settings control shows essential-cookie information only; it does not grant consent to future integrations.

How long information is kept

Account details are retained while needed to manage your account and outstanding transactions. Bids, invoices, seller statements and payment records may need to remain after account closure for applicable accounting obligations, disputes and legal claims. Security logs and correspondence are retained according to their security or support purpose and any relevant legal hold. Retention depends on the record type, the transaction and applicable obligations; contact us for the retention criteria applying to a particular record. Issued documents are archived snapshots and are not silently rewritten when a profile changes.

International processing

Some external providers may process information outside the European Economic Area. Where a transfer is subject to GDPR restrictions, a valid transfer mechanism is required, such as an applicable adequacy decision or standard contractual clauses with appropriate supplementary safeguards. Provider privacy notices explain their processing locations and arrangements. Contact us for information about the safeguards applicable to your data; listing a provider here does not itself authorise a transfer.

Your rights and complaints

Subject to the applicable conditions, you may request access, correction, erasure, restriction and portability of your data, and object to processing based on legitimate interests. You may object to direct marketing at any time and withdraw consent for processing that relies on it. Send requests to info@ipkauctions.pt. We may request proportionate information to verify your identity. We normally respond within one month; permitted extensions for complex or numerous requests will be explained within that month. You can complain to Portugal’s Comissão Nacional de Proteção de Dados (CNPD), or another competent supervisory authority. Erasure rights do not override records we must lawfully retain.

Bidding and automated processing

The auction system automatically applies your submitted maximum, bid increments, reserve and closing rules to determine the current price and winning bid. This can result in a binding purchase under the auction terms. It uses the auction instructions and bid history, rather than advertising profiles. If you believe a result or account restriction is incorrect, contact the auction team for review.
